Purpose: The purpose of this position is to provide financial, payroll, and HR compliance leadership that ensures accurate financial reporting, strong internal controls, regulatory compliance, and strategic support for executive decision-making.
Responsibilities:
Accounting & Reporting Oversight:
- Manage Club and Long Term Garage customer enrollment and billing through the online billing platform
- Prepare and post journal entries for payroll accrual, prepaid expenses, accrued expenses, and club activity.
- Confirm intercompany account balances and ensure all balance sheet accounts are supported with documentation.
- Reconcile all bank accounts and ensure all transactions are accurately recorded.
- Own and lead the month-end close process, ensuring accurate, complete, and auditable financial results by the 5th business day of each month
- Maintain responsibility for general ledger integrity, reconciliations, and financial accuracy
- Support the annual budgeting process with accurate documentation.
- Design, implement, and enforce internal controls to safeguard assets and ensure compliance
- Ensure accurate data integration and reconciliation between financial systems (QuickBooks, Blue Chip ERP, Biller Genie)
- Assist in analyzing and developing dashboards within the VIR Business Intelligence (BI) system to support operational insight, key performance indicators, and reporting
- Serve as acting department head in the absence of the Finance & HR Director
Payroll, Benefits & HR Compliance Oversight:
- Provide senior-level oversight of bi-weekly payroll processing and payroll controls
- Oversee benefits administration, including health plans, HRA, COBRA, and retirement plans
- Coordinate 401(k) audits, filings, and compliance requirements
- Ensure timely and accurate completion of all labor and HR compliance reporting, including:
- Develop, maintain, and standardize job descriptions in collaboration with department leaders to ensure role clarity, compliance, and alignment with organizational needs
- Support recruiting, compensation, performance management, and compliance initiatives.
